The Toolkit · Three tools, one page

Run the numbers. Match the role. Answer your own question.

Most prospects email us with the same three questions: what does this cost, who do I actually need, and the specific thing they're afraid to ask. So we built tools for all three. Use whichever one matches what's stopping you, or run all three.

1The True Cost Calculator

See what hiring this role would cost in year one.

Pick a role, the hours, and how many people you'd hire in-house. We'll show you the real loaded cost based on 2026 US averages, and a range for what working with us typically frees up.

Add more roles. Watch the in-house cost stack up.

In-house figures based on 2026 US loaded-cost averages (salary + benefits + overhead). Your actual quote depends on role specifics, scope, and team configuration.

Want a recommended role too? Run the Role Matcher with these numbers →

What in-house really costs

Role Customer Support · 40 hrs/wk
Loaded cost per hour $32/hr
Annual cost per hire $66,560
Team size 1 hire
Total in-house spend, year one
$66,560
based on 1 hire · 40 hr/wk
Working with us typically frees up
$40,000 – $50,000
Roughly 60–75% of in-house cost, year one. Final numbers depend on scope.
Got the math. Now figure out who you're actually hiring.
2The Role Matcher

Tell me what's eating your week. I'll tell you who to hire.

Four questions. Takes about 30 seconds. At the end I'll show you which Hero archetype fits, what tier makes sense for where you are, and where to look on the Hero Roster page to meet the actual people.

3The Question Bank

The thing you're afraid to ask. Probably here.

Search by keyword, filter by topic, or just browse. Click any card to flip it and read the answer. If something isn't here, ask Nick on the call.

How it works
How is StaffHero different from a typical VA agency?
Flip to read
Most VA agencies are marketplaces — you browse profiles, pick someone, and from there you're on your own. StaffHero is fully managed: we source, vet, and continue to manage the people we place. If something goes sideways, you tell us and we fix it. Single point of accountability, not a freelancer relationship.

How it works
How long does it take to get someone onboarded?
Flip to read
Average time to first placement is about 7 days from your discovery call — role definition, candidate interviews on our side, your final pick. Industry average for hiring locally is 47 days. That's why most clients start here.

How it works
What if my hire isn't working out?
Flip to read
Tell us. Replacements are unlimited and at no extra cost — we don't put a clock on it. If a fit isn't right at any point, you raise it and we re-match. Most performance issues we can solve with coaching before a swap is needed, but raise small concerns early — we'd rather hear it now than three months in.

Pricing
How much does it cost?
Flip to read
Most engagements range from $1,200 to $4,500 per month, depending on role, hours, and team size. No placement fee, no recruiting markup, no surprise charges. Run the calculator above to compare to local hiring.

Is there a long-term contract?
Flip to read
No. Month to month. We don't need to lock you in — if we're not adding value, we'd rather you go.
Flip back
Pricing
What's included in the monthly fee?
Flip to read
Everything except equipment (which they own). The fee covers their fully loaded labor cost, our recruiting and vetting, ongoing management, replacement if needed, and any tools we use to keep them productive. No payroll taxes, benefits, equipment stipends, or HR overhead on your side.

The team
Where are your team members based?
Flip to read
The Philippines, primarily Metro Manila. Strong English fluency, US business culture familiarity, and a deep talent pool for the kinds of roles SMBs need. The time zone is actually an asset — your VA can run the overnight shift while your local team sleeps.
Flip back
The team
Do I get to interview my hire before they start?
Flip to read
Yes, always. We pre-screen, but you make the final call. You'll review their profile, watch a short intro video, and meet them on a video call before they touch your business. If you don't feel right about the match, we keep going until you do.

Can I see the actual people on your team?
Flip to read
Yes. Walk through our HQ and meet six of the heroes we've placed. Six archetypes, six real people, with the work each handles and accomplishments you can see.

Compliance
Are your team members HIPAA-compliant?
Flip to read
For healthcare engagements, yes. Dedicated HIPAA-experienced team and the protocols to back it up: BAAs, secure environments, audit trails. If you're in a regulated industry, ask about our Guardian track when you book a call.
Flip back
Compliance
How do you handle data security and access?
Flip to read
Your VA gets the access they need to do their job and nothing more. We don't share credentials between team members or store your data on personal devices. For sensitive workflows we use isolated environments. Least-privilege principles for everything.
Flip back
How it works
What hours and time zones does your team work?
Flip to read
We staff to your hours, not ours. Your VA's schedule is built around your business — full overlap with your day, night-shift coverage for after-hours support, or a split of both. Manila is 12-13 hours ahead of US Eastern, which means we can run your overnight shift while your local team sleeps. That's a feature, not a bug.
Flip back
How it works
What about holidays, sick days, and PTO?
Flip to read
Your VA gets standard PTO and holidays — they're a person, not a service. When they're out, we coordinate coverage from the bench so the work doesn't stop. You get a heads-up at least a week ahead for planned time off, and same-day coverage for sick days. Holiday calendars (Philippines + US) are aligned at onboarding.

The team
Can my VA learn our specific software and processes?
Flip to read
Yes — that part is on you, and it should be. Your stack and your SOPs are where your business lives, and you know them better than anyone. Our VAs come with strong business communication, computer literacy, and most have hands-on experience with common platforms (HubSpot, Salesforce, Asana, Slack, QuickBooks, Notion, Shopify, Zendesk, etc.) — but every client onboards their hire on their specific tools and processes. Most clients have their VA fully productive within 2-3 weeks. If you don't have SOPs yet, your VA can help you write them as they learn the work.

The team
Do you have bilingual or Spanish-speaking VAs?
Flip to read
We cater to all language needs. We hire globally, but we always check our Philippines pool first since that's where the bulk of our team lives and where we have the deepest bench. If the right fit for your role is there — Spanish, Portuguese, French, anything else — we'll find them. If not, we extend the search to other regions until we land the right person. Mention the language requirement on your discovery call and we'll only put forward candidates who can actually do the work in that language, not "sort of" do it.
Flip back
Pricing
Is there a trial period or pilot option?
Flip to read
The whole engagement works that way, honestly. We're month-to-month with no contract, so you can stop after month one if it's not working — and our replacements are unlimited at no extra cost, no time limit. So if the first match isn't right, you don't lose anything trying again. Most clients know they're a fit by week two.

How it works
What happens if Nick is unavailable? Is there a backup?
Flip to read
Nick is your point of escalation, but he's not the only one. Each placement has a dedicated success manager who handles day-to-day, plus a Manila-side team lead who manages the VA directly. If Nick's on a flight or out of pocket, your work doesn't stop. The whole point of "managed" is that the management is a system, not a single person.
